Greenledwalls Assen B.V. respects your privacy and processes personal data exclusively in accordance with the General Data Protection Regulation (GDPR). This statement explains which data we process when you use our website and our booking platform, create a client account or enter into an Agreement with us.
1. Controller
1.1The controller is Greenledwalls Assen B.V., trading under the name Greenledwalls, located at Cuxhavenweg 6, 9723 JK Groningen, registered in the trade register under Chamber of Commerce (KvK) number 69293783, VAT number NL857820175B01.

2. What data we process
Depending on how you use our platform, we process the following categories of personal data:
- Contact and account details: name, company name, email address, phone number and (where applicable) Chamber of Commerce (KvK) number. If you create a client account without ordering anything, we only process your name, your email address, your password (stored only in non-readable, hashed form) and the date on which you saw the terms and conditions.
- Order and invoice details: the product or subscription chosen, booking details, billing address and VAT number.
- Payment details: the data needed to process a payment. The full payment details are processed by our payment service provider; we only see the payment status and the latest reference.
- Gift card details: the name and email address of the buyer and (if provided) of the recipient, plus any personal message.
- Artwork: the visual material you submit; this may contain personal data that you have chosen to include yourself.
- Technical data: IP address, device and browser information that our hosting processes automatically in order to deliver and secure the website. We do not use tracking cookies or analytics/advertising services to follow your browsing behaviour.
- Correspondence: the content of messages you send us, and a record of the emails our platform sends you (recipient, subject, time and whether the email was delivered).

4. Cookies and similar technologies
4.1Our website uses only functional cookies and similar technologies that are necessary for the site to work, such as keeping you signed in to the client portal or the dashboard and remembering your cart. No consent is required for these strictly necessary cookies.
4.2We do not use tracking cookies or any analytics, profiling or advertising services to follow your browsing behaviour.
4.3To display scripts and images, the site uses unpkg (a script for scrolling) and the storage of our platform (Supabase). The "Watch live" page contains a video feed from Streampartner. In doing so, your IP address may technically become known to that party so that the file can be delivered.
5. Recipients and processors
5.1We do not share your data with third parties for their own purposes. To provide our service, we engage processors that process data on our behalf and under our instructions, including parties for: hosting the website and the platform, storing data, files and artwork, payment processing, sending email, our business mailbox, monitoring our platform and managing our domain name. These parties are listed in 5.4.
5.2We conclude data processing agreements with these processors, setting out appropriate arrangements on security and confidentiality.
5.3We only provide data to other parties where we are legally required to do so or where this is necessary to protect our rights.
5.4We work with the following processors:
- Vercel (Vercel Inc., United States): hosting of the website and the platform. Our server functions run in the Frankfurt region (EU); Vercel also processes data in the United States.
- Supabase (Supabase Pte. Ltd., Singapore): database, login accounts and file storage.
- Resend (Plus Five Five, Inc., doing business as Resend, United States): sending email from our platform (confirmations, invoices, account emails).
- Microsoft: our business mailbox (Microsoft 365) for email you send us.
- Better Stack: monitoring the availability of our platform.
- Hostnet (Hostnet B.V., the Netherlands): registration and DNS management of our domain name.
5.5Payments are processed by Mollie (Mollie B.V., the Netherlands). Mollie processes your payment data as an independent controller; Mollie's privacy statement applies to this.
6. Transfers outside the EEA
6.1Wherever possible, data is processed within the European Economic Area (EEA). If a processor is established outside the EEA, or may transfer data there, we ensure appropriate safeguards, such as standard contractual clauses adopted by the European Commission and, where applicable, the EU-U.S. Data Privacy Framework. This applies to Vercel and Resend (United States) and Supabase (Singapore), and to Microsoft and Better Stack insofar as they process data outside the EEA.

7. Retention periods
7.1We do not keep personal data for longer than necessary for the purposes for which it was collected.
7.2We keep invoice and accounting data for seven years because of the statutory tax retention obligation.
7.3In addition, we apply the following periods:

7.4Data is deleted periodically. There may be at most three months between the end of a period and the deletion.
8. Security
8.1We take appropriate technical and organisational measures to protect your data against loss or unlawful processing, such as encrypted connections (HTTPS), access restrictions and careful selection of processors.
9. Your rights
9.1You have the right to access your personal data and to have it corrected or deleted. You also have the right to restriction of processing, the right to data portability and the right to object to processing based on a legitimate interest. You can also ask us to delete your client account.
9.2If you have given consent for processing, you may withdraw that consent at any time. This does not affect processing that took place before the withdrawal.
9.3You can submit a request via booking@greenledwalls.com. To verify your request, we may ask you to prove your identity. We will respond within the statutory period.
10. Complaints to the Dutch Data Protection Authority
10.1If you believe that we are not handling your data with due care, please contact us first. You also always have the right to lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) via autoriteitpersoonsgegevens.nl.
11. Changes
11.1We may amend this privacy statement from time to time. The current version is always available on this page. We will inform you of significant changes where appropriate.
